Student Organization FORM Framework

The Student Organization Framework is a resource designed to help student organizations pursue excellence. The Framework identifies four key outcome areas - Finances, Operations, Relationships and Membership - each that are essential to foundational success for organizations. These keys are intended to provide a framework that can be applied to and customized for any student organization. Student org leaders can idenfity where they want to grow, then use the Framework to connect with resources across campus, set goals, and take purposeful action. The keys are grounded in excellence, inclusion, integrity, growth, well-being and more. Developed by the Student Org Team, the Framework keys are informed by various leadership and organizational development models and grounded by the holistic life-cycle of a student organization.

Use of the Framework is highly encouraged. Organizations who choose to use the Framework may find they are better prepared to recruit and retain members, engage in collaborations, effectively transition leadership as well as be eligible to apply for Leadership Awards and other recognition opportunities. 

Student orgs may also connect with Student Org Coaches who are trained peer leaders that can help navigate using the Framework and consult with you about operating a successful organization. Connect with a Coach to create a plan for strengthening your organization.


How Does My Organization Use the Framework? 

All student organizations can use the Framework to help make their group stronger and more successful! The Framework outlines four key areas of finances, operations, relationships, and membership. To get started, we recommend: 

Step 1: Familiarize yourself with the four key areas. Each area contributes to the ongoing success of your student organization. 
Step 2: Identify which key area(s) are your priority. It is recommended that you only focus on 1-2 areas at a time. This is because it is important to set reasonable goals for your organization. You can always return to the Framework later for more ideas for improvement. 
Step 3: Schedule an appointment with a Student Org Coach to talk through your goals and develop an action plan to strengthen your organization.

Finances 

Student Organizations are expected to be financially self-sustaining including generating and spending funds, establishing fiscal policies and procedures, as well as using financial resources in ethical ways that are aligned with the purpose and goals of the organization, and benefit the organization as a whole. 

Effectiveness in finances often includes: 

  • Creating and maintianing operation and/or program budgets 
  • Establishing financial procedures, roles and accountability within the organization 
  • Maitingin accurate financial records from year to year 
  • Managing access to bank accounts, peer-to-peer payment servies (Venmo, Cash App, etc.), and related finacial records 
  • Record keeping associated with having an EIN (e.g., saving your EIN and EIN Letter in the Student Org Management System, transfering responsible parties) 
  • Generating funds to meet organizations goals (e.g. collecting dues, hosting fundraisers, seeking collaboration and sponsorship) 
  • Utilizing university funding sources (e.g., Council on Student Affairs Programming and Operating Funds, Resource Room line-of-credit, Student Government Funding)

Operations

An organization's operations are the structurs and procedures that support essential and efficient administrative functions. These collectively serve as the internal engine that powers the planning, organizing, and oversight of the organization driven by the organization's purpose. The officers, with support from the advisor(s) and engagement of members, are generally responsibile for upholding and implementing operations for the organization. 

Effectiveness in operations often includes: 

  • Completing annual registration requirements 
  • Establishing officer reporting lines and role responsibilities 
  • Managing communication methods, accounts, and content 
  • Monitoring constitution and goverance process, and engaging in reviews of processes 
  • Engaging in strategic planning and goal-setting 
  • Having and utilizing a leadership transition plan 
  • Complying with university policies 
  • Keeping accurate organization records 
  • Scheduling meetings and activities for the organization

Relationships

Student organizations have an opportunity and obligation to connect with other organizations, our campus and broader communities. Relationships incorporate how an organization reaches out, build partnerships, strengthens networks with other groups, and builds connections with others who are different than themselves. 

Effectiveness in relationships often includes: 

  • Engaging with external partners or stakeholders (e.g. other student organizations, campus departments, alumni, local community members) 
  • Identifying purposeful partners and building sustainable, long-lasting partnerships 
  • Engaging in partnership with an inclusive and open mindset 
  • Participating in community building or programming with other organizations 
  • Building an organizational brand and sharing information through marketing and outreach (e.g., organization website, social media, newsletters)
  • Exploring and appreciating diversity in backgrounds and perspectives 
  • Connecting with others across cultures and backgrounds 
  • Contributing to the Ohio State campus culture

Membership 

Student organizations are expected to provide positive experiences for their members from start to finish. Membership in an organization is more than simply being on the roster and incorporates the broader experience of members including the sense of belonging, ability to build community within the organization, and developing personally while in the organization. 

Effectiveness in Membership often includes: 

  • Recruiting and on-boarding new members
  • Investing in member retention by evaluating the member experience
  • Delegating responsibility to members and providing leadership experiences
  • Providing opportunities for members to develop personally and professional (e.g., leadership development, career development) 
  • Celebrating and valuing individual differences 
  • Planning programs and special events 
  • Hosting intentional meetings and activities to build community across the organization 
  • Participating in philanthropy and service opportunities 
  • Navigating conflict when it arises 
  • Recognizing members for their individual successes and engagement in the organization
